Automation
Set up automatic invoice reminders
Automatic invoice reminders keep payment follow-up consistent without forcing you to rewrite the same email. Each standard invoice can have a collection plan based on its due date and client context.
How the reminder plan is created
When reminders are enabled, Invoice Reminder creates a sequence around the invoice due date. The plan can include a helpful pre-due note, a due-date reminder, and one or more overdue follow-ups.
The exact plan is visible before send. You can review the timing, tone, and reasoning rather than trusting a hidden automation.
Use the right tone for each stage
AI-assisted drafts use invoice context such as the amount, due date, and reminder stage. Always review important client communication and adjust wording when the relationship requires a more personal approach.
- Friendly works well before the due date or with a new client.
- Neutral keeps the due-date message clear and professional.
- Firm is appropriate for later overdue follow-up without becoming hostile.
Reminders stop when payment is confirmed
A successful Stripe payment updates the invoice through the payment webhook. Once the invoice is paid, queued reminders should no longer be sent. You can also mark an invoice paid manually when payment arrives outside Stripe.
Send a reminder manually
Open an invoice row to view its email lifecycle. A queued reminder can be sent immediately when you need to follow up before its scheduled time. Review the invoice history first to avoid sending duplicate messages.
Common questions
Frequently asked questions
Will reminders continue after the client pays?
They should stop after a confirmed Stripe payment or after you mark the invoice paid manually.
Can I send a queued reminder early?
Yes. Open the invoice lifecycle and use Send now for the reminder you want to dispatch.
Are reminders available for estimates?
No. Proforma invoices and estimates do not create a payment reminder sequence.
