How to create and send an invoice

A good invoice is easy for the client to understand and easy to pay. Invoice Reminder combines the document, email, hosted link, and follow-up plan into one send workflow.

Gather the invoice details

Before creating the invoice, have the client email, a clear description of the work, the amount, issue date, due date, and currency ready. A client name, address, and phone number are optional but useful for formal invoices.

  • Use a recognizable invoice number or keep the generated sequence.
  • Describe each deliverable in plain language the client will recognize.
  • Choose a due date that matches the agreed payment terms.
  • Check the currency before sending; it becomes part of the client payment flow.

Add line items, tax, and discounts

Each line item has a description, quantity, and rate. Use separate items when the client needs to understand how the total was calculated. You can add optional details beneath an item for milestones, date ranges, or scope notes.

Tax and discounts are calculated before the final total. Confirm the result in the invoice preview rather than relying only on the editor fields.

Choose how the client can pay

If Stripe payments are active, the hosted invoice can offer secure card checkout and payment instructions are omitted by default. If Stripe is not active, add manual payment instructions for bank transfer, PayPal, check, or cash.

Never place card numbers, banking passwords, or private login credentials in payment instructions.

Review the invoice and email before sending

    Select Send invoice when the draft is ready.

    Review the invoice amount, dates, client details, notes, and payment method.

    Move to Review email and check the sender, recipient, subject, and message.

    Confirm the send only when both previews are correct.

What happens after send

The invoice appears in the invoice list with its current status, reminder lifecycle, hosted link, and payment history. The newly sent row opens automatically so you can verify the dispatch and the next scheduled action.

Can I preview an invoice before emailing it?

Yes. The send flow requires an invoice review followed by an email review before confirmation.

Can I use a custom invoice number?

Yes. A custom number can be used when it is valid and unique in your workspace.

What happens if the email fails?

The invoice remains saved, but the interface reports that the client did not receive it so you can retry.
